Judging Awards

Privacy statement

Judging Awards runs awards nominations and judging. We collect only what that needs, we never sell it, and we do not track you.

Our promises

  • We never sell your data

    Email addresses and other personal information are never sold, rented or shared with advertisers or data brokers.

  • No tracking

    This website and the awards application do not use analytics, advertising pixels, fingerprinting or tracking cookies.

  • No marketing email

    We only send email that the awards process needs. We do not send newsletters or promotions, and we do not add anyone to a mailing list.

  • Only what we need

    We ask for the details needed to run an awards programme and nothing more.

What we collect, and why

Account holders (administrators and judges)Name, email address and the organisations and roles you hold, so you can sign in and see only what you are assigned.
Nominators and nomineesThe details entered on a nomination form (such as names, contact details, website links and uploaded work), so the awards organisation can assess the entry.
Judges’ scores and commentsRecorded against the entry so results can be calculated and explained.
Payments (only where an organisation charges a nomination fee)Payment is taken by Stripe on its own page. Card details never reach us. We keep the payer’s email, the amount and the payment status.
Enquiries to usThe name, email and message you send through the contact form, used only to reply.

When we send email

Email is used only for the running of an awards programme. That means:

  • sending a password reset link, and invitations to join an organisation;
  • telling judges that categories have been assigned to them, and reminding judges of judging deadlines and closing dates;
  • confirming to a nominator that their nomination was received, and telling a nominee that they have been nominated or suggested;
  • payment receipts, and notices to administrators that a change needs their approval;
  • replying to an enquiry you sent us.

We never use email addresses for marketing, and we never pass them to anyone to use for their own purposes.

Who handles data on our behalf

We use a small number of service providers to run the platform. They process data only to provide their service to us:

  • Supabase for the database, sign-in and private file storage;
  • Cloudflare for hosting this website and the application, and for the bot check on public forms (Turnstile). Like any host, Cloudflare handles ordinary connection information such as IP addresses to deliver and protect the service;
  • Resend for delivering the email described above;
  • Stripe for card payments, only where an organisation has turned on nomination fees.

Apart from these providers, and where the law requires it, we do not disclose personal information to anyone outside the awards organisation that collected it.

Cookies and similar storage

The application keeps you signed in and remembers display choices, such as your theme, using your browser’s own storage. This is needed for the application to work. There are no advertising or analytics cookies.

The sandbox

If you try the sandbox, we create a temporary login for you with no name or email address. Everything in it is made up and is deleted automatically after 24 hours. To stop one person starting many sandboxes, we keep a scrambled (hashed) form of your network address, not the address itself, for the life of that sandbox. Nothing in the sandbox is ever emailed.

Keeping data apart and safe

Each organisation’s information is kept separate from every other organisation’s by the database itself. Judges see only the categories assigned to them, and uploaded audio is private. See our security page for more.

How long we keep it

Each awards organisation decides how long to keep its entries. After a year’s awards are finished, an administrator can export the results and delete the entries, uploaded files and audio. Enquiries sent to us are kept only as long as needed to answer them.

Your rights

You can ask to see the personal information held about you, to correct it, or to have it deleted. Contact the awards organisation that ran your nomination or judging, or contact us and we will pass your request on or deal with it directly. [email protected].

Changes

If this statement changes materially, the new version will be published on this page.
